Worked example: one week on a time card

Five days, each with a 30-minute unpaid break:

Example week: start, end, break and hours worked per day
    DayStartEndBreak (min)Hours workedDecimal hours
    Mon9:00 AM5:30 PM308:008.00
    Tue9:00 AM5:15 PM307:457.75
    Wed8:30 AM5:00 PM308:008.00
    Thu9:00 AM4:30 PM307:007.00
    Fri9:00 AM5:00 PM307:307.50
    Total38:1538.25

    38 h 15 min = 38 + 15 ÷ 60 = 38.25 hours. At $18.50 an hour: 38.25 × $18.50 = $707.625, which rounds to $707.63.

That week is under 40 hours, so no overtime applies. With a 45-hour week at $20 an hour and time and a half after 40 hours, the pay is 40 × $20 + 5 × $30 = $950.00. See the overtime calculator for more cases.

How do you calculate a time card?

    1. Hours for each day = end time − start time − unpaid break. If you work past midnight, add 24 hours to the end time first.
    2. Add the days. Add hours and minutes separately and carry every 60 minutes into one hour: 7:45 + 8:30 = 16:15.
    3. Convert to decimal hours for payroll: decimal hours = minutes ÷ 60, so 15 minutes is 0.25 and 45 minutes is 0.75. Use the minutes to decimal chart for any minute from 1 to 60.
    4. Multiply by your hourly rate for gross pay, before taxes. Hours over your overtime limit are paid at the overtime multiplier.

Why use decimal hours instead of hours and minutes?

Payroll multiplies hours by a rate, and that only works with decimals. 38 hours 15 minutes is not 38.15 hours; it is 38.25. This calculator shows both so you can match whatever your employer or payroll system asks for.

How does overtime work on a time card?

Under the federal Fair Labor Standards Act (FLSA), employees who are covered and not exempt must receive overtime pay of at least one and one-half times their regular rate for hours worked over 40 in a workweek. A workweek is a fixed, repeating period of 168 hours (seven 24-hour periods) and can start on any day; hours are not averaged across two or more weeks (U.S. Department of Labor, Fact Sheet #23). Many states and employers add their own rules, such as daily overtime or double time. Those are not built into this calculator, which is why the settings let you change the limit and the multiplier. If you are unsure which rules apply to you, ask your employer, your payroll provider or the Wage and Hour Division (1-866-487-9243).

    Time card calculator FAQ

How do I calculate hours on a time card with a lunch break?

For each day, subtract the start time from the end time, then subtract the unpaid lunch. For example, 9:00 AM to 5:30 PM is 8 hours 30 minutes; take off a 30-minute lunch and you have 8 hours. Add the days together for the week.

How do I convert hours and minutes to decimal hours?

Divide the minutes by 60 and add them to the hours. 38 hours 15 minutes is 38 + 15 ÷ 60 = 38.25 hours. A quarter hour is 0.25, half an hour is 0.50 and 20 minutes is 0.33. The full chart is on the minutes to decimal page.

Does the calculator work for overnight shifts?

Yes. If the end time is earlier than the start time, the calculator treats the shift as running past midnight and adds 24 hours. 10:00 PM to 6:30 AM is 8 hours 30 minutes.

How is overtime figured on a time card?

Under the federal Fair Labor Standards Act, covered employees who are not exempt must get at least one and one-half times their regular rate for hours over 40 in a workweek, and each workweek stands alone: hours are not averaged over two weeks (U.S. Department of Labor, Fact Sheet #23). Set the weekly limit and multiplier in the settings. State rules and employer policies can differ and are not built in.

Can I use it for biweekly or semi-monthly pay periods?

Yes. Pick weekly, biweekly or semi-monthly in the settings. Overtime is checked one workweek at a time, so a biweekly card is two separate weeks.

Is my data saved or sent anywhere?

No. Everything is calculated in your browser and nothing is sent to a server. Your entries are only kept on your device if you tick “Remember my entries on this device”; untick it to delete them.
